Sydney Property Management Guide

Sydney property management: a practical guide for landlords

Newlink Realty Management is building an AI-enabled residential property management business, starting in Sydney. Our approach combines property managers, AI-assisted tools and standard workflows to support rental pricing, leasing, day-to-day management and clearer owner communication.

Whether you are preparing a property for lease or reviewing your current management arrangements, start with three questions: how will the property be leased, how will ongoing issues be handled, and what will you be able to see as the owner?

Request a rental appraisal or talk to Newlink about your property.

Our ambition: built in Sydney, with a national vision

Our ambition is to become Australia’s largest property management company, with AI supporting the way we work and professional property managers leading service delivery.

Sydney is our starting point. Our plan is to establish a strong business here before expanding into Melbourne and Brisbane, focusing on these capital-city markets across New South Wales, Victoria and Queensland. Melbourne and Brisbane are future expansion markets; our current service focus remains Sydney.

What does property management include?

Property management covers more than finding a tenant. It brings together the work needed to lease a property, monitor rent, coordinate maintenance, keep records and prepare for the next stage of the tenancy. The services and fees included in your arrangement depend on your selected plan and management agreement.

  • Leasing: rental pricing, marketing, inspections and application assessment.
  • Ongoing management: rent monitoring, maintenance coordination and owner reporting.
  • Tenancy planning: routine inspections, rent reviews, lease renewals and preparation for reletting.

How Newlink approaches rental pricing and leasing

A useful rental recommendation considers the property, competing listings and current market feedback. Newlink uses X-Pricing to support rental pricing and leasing strategy, with the property manager reviewing the recommendation and discussing the approach with the owner.

Once a property is advertised, enquiry levels, inspection attendance and application activity help inform the next steps. Our team reviews that feedback so decisions about presentation, advertising and price can respond to the campaign rather than rely on an initial estimate alone.

Leasing work includes preparing marketing material, coordinating advertising and inspections, and following up with prospective tenants. The marketing channels and additional services included are confirmed under the selected plan.

How are tenant applications assessed?

Newlink uses X-Match to help organise and initially screen applications. The property manager then reviews the information and relevant supporting checks before presenting suitable applications to the owner. AI supports this work; the owner makes the final selection with advice from the property manager.

Ask your property manager which checks apply, when they are completed and whether any separate screening fee is payable under your plan. Application assessment helps inform a decision but cannot guarantee a tenant’s future conduct or payments.

What happens during the tenancy?

Rent monitoring and owner reporting

Our team monitors rental payments and follows up on issues through the management process. Owner statements and property information help you understand the activity associated with your investment. Newlink uses PropertyMe as an owner portal to support access to information and records made available for your property.

Maintenance coordination

When a maintenance issue is reported, the team works to understand the problem, coordinate quotes or trades where appropriate, obtain owner approval when required and keep a record of the work. The next step depends on the issue, its urgency and the authority set out in the management agreement.

Inspections, rent reviews and renewals

Routine inspections help document the property’s condition and identify matters that need attention. As the tenancy progresses, the team also considers rent reviews and lease renewal discussions. If a tenant is leaving, planning the handover and reletting process helps the owner understand what needs to happen next.

What role does AI play at Newlink?

Newlink’s AI-assisted tools support the team’s work. X-Pricing supports rental pricing and leasing strategy; X-Match helps organise and screen applications; and the AI PM Assistant supports access to knowledge and day-to-day follow-up. Property managers remain responsible for reviewing information, communicating with owners and coordinating the work.

The purpose is to make information easier to use and routine work more consistent, while keeping professional judgement and owner decisions central to the process.

How to compare property management services

Compare the whole service arrangement, not just the headline management fee. Ask what is included, which items are charged separately and how the team will communicate with you.

  • Who is your day-to-day point of contact?
  • How are rental pricing and campaign changes discussed?
  • What application checks are included?
  • How are maintenance quotes and approvals handled?
  • Which statements and records can you access?
  • What are the leasing, renewal, marketing and other additional charges?
  • What conditions apply to any plan benefits or early termination?

Newlink offers different service plans. The appropriate choice depends on the support you want and your property’s circumstances. Ask for the current plan details and a written fee explanation before appointing a manager.
